How to Book a Meeting Room
- Select a Room: Choose the meeting room that best fits your needs from the options listed above.
- Check Availability: Click on the reservation link for the desired room to view availability.
- Make a Reservation: Reserve the room using the Library’s online room reservation system, by phone, or in person.
- Library Card Verification: Ensure you have a valid, full privilege Jersey City Free Public Library card to complete your reservation.
Responsibilities
- Setup and Cleanup: Patrons reserving meeting rooms are responsible for their own event setup, cleanup, and breakdown. Patrons must return meeting rooms to the original layout and/or setup.
- Cancellations: Patrons must notify the library of any cancellation prior to the meeting date so the room may be made available to other patrons.
- Conduct Policy: All patrons using meeting rooms are subject to the Library’s Patron Conduct Policy, unless a particular stipulation of the policy is waived in writing by the Library in advance of the meeting.
- Policy Violations: Violations of the Meeting Room Policy may result in loss of room use privileges.
Fees
- Applicable Fees: The Library may charge fees for the use of meeting rooms; all applicable fees are identified in the Library’s Schedule of Bookable Spaces.
- Payment Terms:
- All meeting room fees are payable before the start time of the room reservation.
- Meeting room fees are not refundable.
- Any unpaid meeting room fees will be assessed to the cardholder who made the meeting room reservation.
- Fee Waivers for Nonprofits: Room reservation fees may be waived for duly recognized nonprofit organizations based in and/or serving the residents of Jersey City, depending upon the intended use of the meeting room.
Meeting Room Policy Overview
The purpose of the Meeting Room Policy is to provide a basis for equitable service to all patrons who request to use the Jersey City Free Public Library’s facilities and to clarify the responsibilities of both the Library and its patrons regarding the use of the Library’s meeting rooms.
Policy Statement
Equitable Access: The Jersey City Free Public Library makes its meeting rooms and study room facilities available to local groups and organizations for lawful public use on an equitable basis, regardless of the beliefs or affiliations of individuals or groups requesting their use.
Open and Free Meetings: All meetings, programs, and events held in Large Meeting Rooms must be free and open to the public.
Prohibited Charges: No fees, dues, or donations may be charged to or solicited from meeting attendees while in Library facilities or as a requirement to attend meetings on said facilities.
Commercial Use Prohibited: Use of meeting rooms for the purposes of marketing or promoting any commercial goods or services is prohibited.
No Endorsement Implied: Permission by the Library to use its facilities does not constitute an endorsement of the booking organization by the Jersey City Free Public Library or Library Board of Trustees.
Private Events Not Allowed: The Library’s meeting rooms and study rooms are not available for private events, including but not limited to graduations, weddings, birthday, or anniversary parties.
Base of Operations: Meeting rooms are not to be used as a base of operations for any club, business, or private organization.
Room Capacity Compliance: Meeting attendance may not exceed room capacity. Library staff reserve the right to decline use of meeting rooms or to ask patrons to leave if the number of persons in the room exceeds the room capacity.
Reservation Requirements:
- A valid, full privilege Jersey City Free Public Library card is required to reserve a meeting room.
- Meeting rooms may be reserved using the Library’s online room reservation system, by phone, or in person.
Reservation Details
- Operating Hours: Meeting rooms are available for reservation during library operating hours only. Patrons may not access Library buildings before opening or after closing to set up or prepare for gatherings.
- Reservation Time Includes Setup: Access to meeting rooms is granted only during the hours of reservation; the room reservation time includes any time necessary for setup and breakdown.
- Conclusion of Meetings: Meeting room reservations will terminate, and patrons must conclude gatherings and exit rooms, 30 minutes prior to the close of the library.
Refreshments
- Permitted Rooms: Refreshments are permitted in specified meeting rooms, subject to the stipulations for use of each individual room.
- Additional Fees: The serving of refreshments will incur additional meeting room fees, which are identified in the Library’s Schedule of Bookable Spaces.
Stipulations
- Room-Specific Guidelines: Stipulations for the use of individual meeting rooms may vary by location; patrons are responsible for understanding and adhering to the stipulations for use of the meeting room that they have booked.
- Cleaning and Repairs: Patrons reserving meeting rooms accept responsibility for any cleaning and/or repairs required after use of meeting rooms.
